GENERATIONS HAIR SALON - GROUP AND FORMAL BOOKING TERMS AND CONDITIONS

These Group and Formal Booking Terms apply to all group hair bookings of 3 or more people made with Generations Hair Salon (Fuggle Generations Pty Ltd, ABN 71 698 910 691), trading at Shop 7, 1-11 Alison Road, Wyong NSW 2259. Group bookings include school formal groups, event styling groups, hens parties, and any other coordinated group appointment. These terms are in addition to our general Booking Terms and Conditions.

1. What Qualifies as a Group Booking

A group booking is any coordinated appointment of 3 or more people booking together for the same event or occasion, made under a single booking reference. Each person in the group receives their own service - pricing is per person per service.

Group bookings include but are not limited to:

  • Year 10 and 12 school formal groups

  • Hens parties and pre-wedding celebration groups

  • Event styling groups (galas, race days, birthday celebrations)

  • Family or friend groups booking together for a special occasion

2. Enquiry and Booking Process

2.1 How to Enquire

Group bookings cannot be made directly through our online booking system. To enquire about a group booking, please contact us at info@generationshair.com.au or 02 4390 5260. Please include: the occasion, your preferred date, the number of people in the group, and the services each person requires.

2.2 Quote

We will provide a written quote for your group booking based on the services requested and the number of people. The quote will include the total estimated cost, the deposit required, and the proposed schedule for the appointment.

2.3 Confirmation

Your group booking is confirmed only once the deposit has been received and a written booking confirmation has been issued by Generations Hair Salon.

3. Deposit

3.1 Deposit Amount

A deposit of 50% of the total quoted booking value is required to confirm a group booking. The deposit is calculated on the full group total, not per person.

3.2 Who Pays the Deposit

The deposit is the responsibility of the person making the booking (the group organiser). The group organiser is responsible for collecting contributions from other group members and ensuring the deposit is paid in full by the due date.

3.3 Deposit Due Date

For school formal and event bookings, the deposit is due within 7 days of the written quote being issued. If the deposit is not received within 7 days, the date may be released to other clients.

4. Group Incentive

As a thank-you for coordinated group bookings, we offer a group incentive of 10% off each individual service for groups of 4 or more people. This discount:

  • Applies to the hair service price only - not to retail products, gift vouchers, or additional add-ons

  • Is applied to the final invoice and deducted from the balance due

  • Applies only where all 4 or more people attend on the same day under the same booking reference

  • Cannot be combined with any other offer or promotion

  • Groups of 3 people do not qualify for the group incentive but do qualify for group booking terms including priority scheduling and a dedicated contact point.

5. School Formal Bookings

5.1 Formal Season

School formal bookings are available during formal season (typically October and November). We begin accepting formal season group enquiries from August each year. Early booking is strongly recommended - appointment slots during formal season are limited and fill quickly.

5.2 Formal Packages

We offer formal-specific styling packages including updo and formal style, and blowdry and waves. Package pricing is set out in our current service price list at generationshair.com.au. Package pricing includes the service only - additional services such as hair extensions or treatments are quoted separately.

5.3 Scheduling

For formal groups, we will prepare a schedule allocating each person a specific appointment time. Please share the schedule with all group members promptly after it is issued. We allow adequate time between each service - late arrivals affect the whole group's schedule.

5.4 School Information Packs

We provide a school formal information pack for distribution to year groups and student services teams. Contact us at info@generationshair.com.au to request a current information pack for your school.

6. Schedule and Timing

6.1 Service Schedule

We will prepare a service schedule for your group once the booking is confirmed and all services are finalised. The schedule sets out each person's appointment time and estimated duration. Please treat the schedule as confirmed - arriving significantly early or late disrupts the flow for the whole group.

6.2 Late Arrivals

A 15-minute grace period applies per person. Where a group member arrives more than 15 minutes late, their service may be shortened or rescheduled at the stylist's discretion. The group organiser accepts responsibility for communicating appointment times to all group members.

6.3 Duration

Group bookings can require extended booking windows of 3–6 hours or more depending on group size. Please allow adequate time and ensure all group members are available for the full scheduled period.

7. Cancellation Policy

7.1 Cancellation by the Group Organiser

The group organiser is responsible for any cancellation of the group booking. Cancellations must be made in writing to info@generationshair.com.au.

7.2 Cancellation Timeframes

Cancellation 30 or more days before the event date: deposit forfeited, any balance paid refunded in full

Cancellation 15–29 days before the event date: 50% of the total booking value is non-refundable

Cancellation within 14 days of the event date: full booking value is non-refundable

7.3 Reduction in Group Numbers

If the number of people in the group reduces after the booking is confirmed:

  • Reductions notified 30 or more days before the event: adjusted total recalculated, deposit adjusted proportionally

  • Reductions notified 15–29 days before the event: 50% of the original total remains payable

  • Reductions notified within 14 days of the event: full original booking value remains payable

The group organiser is responsible for communicating any changes to group numbers as early as possible.

7.4 Individual No-Shows

Where an individual group member does not attend without notice, their service cost remains payable by the group organiser. The group organiser accepts financial responsibility for all members of the group at the time of booking.

8. Payment

8.1 Balance Due

The balance of the group booking is due 14 days before the event date. We will contact the group organiser in advance to arrange payment.

8.2 Payment Method

Payment may be made by direct bank transfer to Fuggle Generations Pty Ltd (bank details on request) or by card in salon. Please contact us at info@generationshair.com.au to arrange payment.

8.3 Individual Payments

We do not accept individual payments from group members on the day of the appointment. All payments are the responsibility of the group organiser. The group organiser is responsible for collecting individual contributions and making a single payment to Generations Hair Salon.

9. Patch Testing

If any colour or chemical service is included in a group booking, patch test requirements apply to each individual receiving that service. Please refer to our Patch Test Policy. It is the group organiser's responsibility to ensure all group members requiring patch tests have completed them at least 48 hours before the appointment.

10. Photography

We may wish to photograph completed styles from group and formal bookings for our social media and website. Consent will be sought from each individual - not just the group organiser - before any photographs are taken. Please refer to our Photography and Social Media Consent Policy.

11. Group Organiser Responsibility

The person making the group booking (the group organiser) accepts the following responsibilities on behalf of the group:

  • Paying the deposit and balance by the required dates

  • Communicating the booking schedule and requirements to all group members

  • Notifying us of any changes to group numbers as early as possible

  • Ensuring patch test requirements are met for all group members requiring colour services

  • Accepting financial responsibility for the full booking value, including no-shows and cancellations

12. Governing Law

These terms are governed by the laws of New South Wales, Australia. Nothing in these terms limits your rights under the Australian Consumer Law.
